Privacy Policy

1. Scope and contact

This policy explains how MC Renew Solutions LLC (“MC Renew,” “we,” “us”) handles information collected through mcrenewsolutions.com, our AI chat, inbound telephone assistant, and related service communications. Questions or privacy requests may be sent to info@mcrenewsolutions.com or +1 (912) 766-9095.

2. Information we collect

3. How we use information

We use information only to answer questions, provide or arrange requested services, prepare or follow up on estimates, manage appointments, communicate when requested or authorized, operate and secure our systems, investigate failures, maintain business records, and comply with applicable law. We do not sell personal information or use conversation data for unrelated advertising.

4. AI, transcription, and call recording

An AI assistant may answer calls or chats, collect project details, and generate summaries. AI output can be incomplete or inaccurate and should be confirmed before relying on it. When a call may be recorded or transcribed, an audible notice should be provided at the beginning of the call. Continuing after that notice indicates consent where permitted by applicable law. Because recording laws vary by the caller’s location, we may disable recording or request express consent when required.

5. Service providers and disclosures

We may disclose information to vendors that process it on our behalf, including Vapi and its configured voice or AI providers, Google Cloud and Firebase, telecommunications providers, and professional advisers. We may also disclose information when reasonably necessary to comply with law, protect people or property, investigate fraud or security incidents, or complete a business transaction subject to appropriate protections.

6. Retention

We keep personal information only while reasonably needed for the purposes described above. Raw call recordings and transcripts are targeted for deletion or de-identification within 30 days after an inactive conversation, unless they are needed for an active service request, estimate, appointment, dispute, security investigation, legal obligation, or other legitimate business purpose. Lead and service records may be retained longer when needed to provide service or maintain required business records. Deletion from backups and service-provider systems may occur on their normal rotation schedules, and we cannot promise deletion when preservation is legally required or technically infeasible.

7. Choices and requests

You may ask to access, correct, or delete information associated with you, or withdraw permission for future communications, by contacting us. We will evaluate and respond consistent with applicable law and may need to verify your identity. A request cannot require us to alter an original transcript or delete information we must retain, but we may append a correction or restrict further use where appropriate.

8. Security and children

We use reasonable administrative, technical, and organizational safeguards, but no system is completely secure. Do not provide Social Security numbers, payment-card data, medical information, passwords, or other highly sensitive information through chat or calls. Our services are not directed to children under 13, and we do not knowingly collect their personal information.

9. Changes

We may update this policy as our services or legal obligations change. The “Last updated” date identifies the current version. Material changes will be communicated through the website or another appropriate channel.
